Winnilinks Logistics Limited (“Winnilinks”, “we”, “us”) respects the privacy of everyone who contacts us, ships with us or visits this website. This policy explains what information we handle and why. It is intended to be consistent with the Data Protection Act, 2019 of Kenya.

2. Information we collect

  • Contact details you give us — name, email address, telephone number, company name and postal or delivery address.
  • Enquiry content — the service you selected and the message you sent through our enquiry form, WhatsApp or email.
  • Shipment and consignment data — origin and destination addresses, consignee details, cargo descriptions, weights, values, commercial invoices, permits and other documents required to move or clear your goods.
  • Customs and regulatory information — KRA PIN, tax and registration identifiers and other data required by law for customs declarations.
  • Security service data — where we install or maintain surveillance and access control systems, site details and system configuration information.
  • Technical data — basic, non-identifying information your browser sends when you visit this site.

3. How we use it

  • To prepare quotations and respond to your enquiry.
  • To arrange, monitor and deliver freight, courier, warehousing, fulfilment, distribution and security services.
  • To lodge customs declarations and meet our obligations as a licensed Authorized Economic Operator.
  • To invoice you and keep accounting records.
  • To communicate operational updates about your consignment or installation.
  • To meet legal, tax and regulatory obligations in Kenya and in destination countries.

4. Lawful basis

We process personal data where it is necessary to perform a contract with you, where we have a legal obligation (customs, tax and record-keeping requirements), where it serves a legitimate business interest that does not override your rights, or where you have given consent — for example to receive marketing communications.

5. Who we share it with

We share only what is necessary, and only with:

  • Overseas partner agents in our network in over 160 countries, to collect or deliver your consignment.
  • Airlines, shipping lines, hauliers and last-mile couriers carrying your goods.
  • The Kenya Revenue Authority, Kenya Ports Authority and other regulators where a declaration or permit requires it.
  • Professional advisers, insurers and banks where required.

We do not sell your personal data to anyone.

6. International transfers

Moving cargo internationally necessarily involves sending consignee and shipment details to the origin or destination country. We share only what the movement and its clearance require, and we expect our partners to protect it.

7. Retention

Shipment, customs and accounting records are kept for the period required by Kenyan tax and customs law. General enquiry correspondence is kept only as long as it is commercially useful, then deleted.

8. Security

We apply appropriate organisational and technical measures to protect the information we hold, including restricted access, secured premises and controlled handling of shipment documentation. No system is perfect, but we take this seriously.

9. Your rights

Subject to the Data Protection Act, 2019, you may ask us to confirm what personal data we hold about you, to correct it if it is wrong, to delete it where we are not legally required to keep it, to restrict or object to certain processing, and to receive a copy in a portable format.
